“Just Because We Can” – Don’t Enable Features Without Having Goals in Mind

We see it in our personal lives every day. Another feature added to our mobile device, another digital channel added to our television, another new whizzbang application to monitor our heart rate and physical well-being. It really is never ending. The technological age should be re-branded as the technological overload given what we have access to in 2017. The jury is out as to whether this quagmire of technological ‘enhancement’ is making our personal lives any better, and if so, to what extent?

Given this experience which often plagues our personal lives, it’s very easy to overlay these tendencies into our professional experiences as well. There is no better example of this than when a business leader is attempting to align their company’s information management requirements with relevant technological solutions. Becoming mesmerised by the bells and whistles of the never-ending roll call of features within SharePoint is a classic example of this being the case.

Microsoft says that SharePoint can be used “as a secure place to store, organise, share, and access information from almost any device. All you need is a web browser, such as Internet Explorer, Chrome, or Firefox”.  They go on to say that SharePoint has been designed to “empower individuals, teams and organisations to intelligently discover, share, and collaborate on content from anywhere and on any device”.

Microsoft provides some effective guidance in relation to the recommended SharePoint components for any organisation to utilise. Broadly speaking, these include some core components like ‘Modern Team Sites‘, ‘External Sharing‘, ‘Content Management‘ as well as ‘Mobile Apps‘ and ‘eDiscovery‘.

Our experienced FiveP business consultants have a plethora of experience in helping organisations navigate the SharePoint universe. FiveP experts proudly act as “jargon busters” to ensure that you implement the most relevant, simple and user-friendly SharePoint platform which is truly fit for purpose for your business.

Just when you think you’ve seen it all, Microsoft plan to deliver a huge range of SharePoint enhancements in 2017. These range from user interface improvements, app integration capabilities, as well as further integration with graph technology and Office 365 groups.

According to office.com/roadmap (April 2017), the following SharePoint enhancements will be delivered in 2017:

  • SharePoint Online – SharePoint Framework
  • Conditional access policies for location and apps
  • SharePoint Online – create team site and Office 365 group from SharePoint home
  • SharePoint Online – team news
  • SharePoint – modern team sites plus Office 365 Groups integration
  • Modern library field view customization
  • Flow Integration for Document Libraries
  • Customer controlled encryption keys for SharePoint Online
  • SharePoint Online – personalized search from SharePoint home in Office 365
  • SharePoint Online – personalized news on the SharePoint home page in Office 365
  • SharePoint Online – Client-side Web Part for Existing SharePoint Pages
  • Excel Online improvements

Whilst many of these enhancements may be tempting to “switch on” for your business, FiveP encourages you to stay focused and keep your eye on the main prize. That is, ensuring that the SharePoint features which you utilise are directly relevant and aligned to the strategy of your organisation and delivering tangible value to your information management requirements.

FiveP believes in mastering the basics of SharePoint before diving head first into more advanced features.

Keeping it simple works for us and we believe it works for our clients as well. Less is most definitely more when it comes to SharePoint and the flow on organisational benefits is endless.

Mastering the art of simplicity can be a lifelong challenge for business leaders. FiveP partners with companies to spread the word that simple, inspirational yet obtainable business goals are typically those which drive the strongest levels of staff engagement, productivity and talent retention. This is because staff are aware of what the company is working towards, understand their role in that journey and feel like they have been given the right tools and navigational support to achieve those goals. Managing your information is no different and SharePoint is an excellent globally renowned platform to drive this ethos through all aspects of your organisation, as long as you follow a ‘horses for courses’ approach.

Establishing and maintaining a clear, cohesive and goal-oriented business strategy is crucial to being able to determine the most critical features of a platform such as SharePoint. Your business strategy needs to drive your technological requirements as an enabler of what you are trying to achieve, not the other way around. If scoped correctly and the right talent is harnessed for implementation, this really can be a match made in heaven for your business.
