The local subsidiary of lubricants innovator, the FUCHS Group, commissioned FiveP to design a game changing SharePoint Online intranet to bring the AISEA (Australia, India, and Southeast Asia) region together, improving employee communications and collaboration across the group.
FUCHS commits to local infrastructure and expertise as it develops, manufactures, and sells technologically advanced lubricants and specialty products around the world. FUCHS was looking to assist staff in its AISEA region find the internal connections and information they needed to more efficiently fulfil their roles.
As Rochelle Liyanage, Product Services Coordinator at FUCHS Lubricants (Australasia), explains, “Our existing intranet’s search function wasn’t organised in a logical or intuitive way. This caused a lot of frustration navigating it making it really difficult to find information or complete tasks – so a lot of people would avoid using it. And the system wasn’t compatible with new technologies, like mobile devices or cloud-based applications, and that put real limitations on its usefulness.”

FUCHS has a strategic focus on service excellence and, with its staff across the region operating more effectively, there would be a payoff too for its AISEA customers.

Delivering consistent branding from SharePoint Online collaboration platform.
The FiveP SharePoint Foundations addressed FUCHS’ business requirements through the creation of a modern intranet site for the AISEA region, as well as complementary, specific country sites. Based on a globally endorsed site template, it was to achieve uniform branding across the regional and country pages. The goal was to provide a simple and consistent intranet experience for users across the AISEA region, with access to hyper-local content triggered by the user’s location.
Consistent with the approach at FUCHS head office in Germany, the new collaboration platform would be built using SharePoint Online intranet.
To establish the AISEA site, FiveP implemented its purpose-designed foundational framework for deploying SharePoint Online. Over five days, a FiveP specialist worked closely with nominated FUCHS subject matter experts.
From there, FiveP applied its expertise in combining business productivity and operations toolsets to build out a base intranet platform.
The result was a unified capability that aligned with the FUCHS’ working model. Its people across the region now have a broad range of built-in communication tools, such as team sites, newsfeeds, and discussion boards. With the SharePoint Online streamlined workflows and real time access, tasks can be completed with no wasted time.
In the next phase of the project, FiveP conducted the critical knowledge transfer. Via a range of activities, workshops and training sessions, the focus was on the country-level site structures, high-level information architecture, a governance plan, and content strategy. The deliverables were supported by eight Champions training sessions and a group admin training session. To ensure the successful ongoing management and maintenance of each country’s intranet, FiveP provided appropriate training to local country SMEs.
